Divisional Administrative Assistant

Administrative Assistant for Global HR Business Partners & Services and the AMIL HR department (2 staff members)

Job Description:

  • Provides end to end administrative support to the leaders and teams she/he supports

  • Manages Organization’s cadence & calendar

  • Responsible for weekly staff meeting and other regular meetings agenda’s, captures action items and follows up on execution

  • Maintains individual calendars with little Executive input (using knowledge and judgment of the Executives priorities and business practices/procedures. Proactively resolving conflicts, optimizing and rearranging meeting schedule to maximize business needs

  • Supports leader with presentations and reports and ensures data accuracy

  • Manages Departmental budget

  • Coordinate special events, including wellbeing events, award ceremonies, conferences, team building events, All Hands, tours for visiting VIPs etc.

  • Makes travel arrangements, via the Corporate Travel department: booking airline tickets, hotel and car, close a travel timetable and agendas. Submit the expense report via corporate tools

  • Uses extensive knowledge of the Executive's priorities and business practices to routinely and directly respond to daily issues/requests as authorized

  • Handles equipment ordering and seating for new employees, guiding managers on various administrative processes in the onboarding of new employees

  • May participate in creating and/or creates departmental procedures and documentation

  • May drive special projects
     

Requirements

  • ~3 years of experience in related areas, preferably in high-tech and global environment 

  • Academic degree – preferably in human resources related areas

  • Fluent in the English language

  • Knowledge with Office tools, including Power Point & Excel – a plus

  • Quick learner, curious and proactive with good administrative/execution skills

  • Good communication skills – verbal and in writing

  • Flexible, and able of multitasking, prioritizing and working under pressure

  • Service Oriented & team player & culture sensitive 

  • Self-motivated and independent
